Overview

The Facilities Admin Assistant will oversee the day-to-day monitoring and implement preventive and corrective maintenance of the facilities' Electrical, Mechanical, Sanitary/Plumbing, UPS, CCTV, Security Access, and Fire Detection and Alarm Systems to ensure safety and maintain the site.

Responsibilities

Key Responsibilities

  • Assist in the daily inspection and monitoring of building facilities, including HVAC, electrical, plumbing, and other systems
  • Coordinate and follow up on preventive maintenance schedules and corrective repairs
  • Support vendor coordination, including access, supervision, and work completion validation
  • Maintain records of maintenance activities, service reports, and facility documentation
  • Assist in monitoring utility consumption (electricity, water) and report any irregularities
  • Respond to facility-related requests, incidents, and emergencies in a timely manner
  • Ensure compliance with safety standards, company policies, and regulatory requirements
  • Conduct routine walkthroughs to identify issues and recommend corrective actions
  • Assist in inventory management of tools, equipment, and consumables
  • Support office setup, workstation moves, and space planning activities

Qualifications

  • Technical certification in Engineering, Facilities Management, or a related field (preferred)
  • At least 1–2 years of experience in facilities, building maintenance, or a similar role
  • Basic knowledge of building systems (HVAC, electrical, plumbing)
  • Familiarity with preventive maintenance processes and safety standards
  • Good communication and coordination abilities
  • Proficient in Microsoft Office (Excel, Word, Outlook)
